AUGUST- DECEMBER
- – Request campsite and secure youth and adult spots during your chosen week
– Confirm interest with Scouts attending
– Share Camp Staff Application with Scouts. Interviews will begin in December
JANUARY
- – Confirm youth and adult counts
– Begin adding details for attendees
– Share parent portal information with parents
– Share campership information with families
– Encourage all attendees to schedule a camp physical with their doctor. ALL participants staying overnight must submit a full BSA Health Form (parts A, B1, B2, and C) upon arrival to camp.
FEBRUARY
- – Collect $100 deposit from youth to select programs in March or share the Family Payment Link with parents to pay deposit directly. Allow up to 2 business days for this payment to be applied to the camp registration.
– Share the program catalog with youth attendees. Consider having them complete the program planning worksheet to help in registering them for classes.
– Attend Pre-Camp Leader’s Meeting on February 21st
– Plan pre-camp swim checks for your unit, or choose to do them at camp
– Invite Arrow of Light crossovers to attend camp with you
MARCH
- – Priority merit badge class registration for youth ages 14+ with the $100 deposit paid opens on March 2nd at 10am
– Merit badge classes for all youth with the $100 deposit paid opens on March 16th at 10am
– Schedule a pre-camp meeting with families
– Collect information from AOL crossovers attending camp with you
APRIL
- – Campership application closes April 5th for MAC Scouts
– Collect remaining balances for participants
– Ensure shirt sizes are correct and entered into the registration system
– Hold pre-camp parents meeting: Discuss travel plans, emergency contacts, medications, packing list, program specifics, etc. Review the Program Detail page for prerequisites, waivers, etc.
– Submit dietary needs via registration system for June sessions
MAY
- – May 4th: Early Bird Pricing Ends. T-shirt sizes must be added in order for youth to receive free shirt
– Submit pre-requisites and waivers online
– Collect Health Forms for all participants. Drop off or mail to the Durham Scout Center at least 1 week prior to your week at camp for pre-check
– Submit dietary needs via registration system for July sessions
WEEK BEFORE YOUR ARRIVAL
- – Expect a call from our commissioner team to confirm arrival plans and any special requests. Communicate additional family night guests with the commissioner at this time.
– Join our text message service
– Drop off or mail health forms to the Durham Scout Center for pre-check. The camp medical team will reach out via email to the registrant contact if there are any errors or missing information.
YOUR WEEK AT CAMP!
- – Have at least 1 leader attend the daily leaders meeting for program and camp updates
– Have your SPL attend the daily SPL meeting for program updates. Units can sign up for service projects and closing campfire skits during this time.
– Communicate departure plans in the Administration building
– Have a great week at camp!
